Students’ Mentoring and Directing Unit in Department of Civil Engineering
The unit's functions, tasks, and related procedures:
The objective of the unit. This committee pursues to guide and direct students and assist them in knowing the department, its programs and fields, and in solving problems and overcoming the obstacles they face during their study of these programs in order to improve their academic outcomes.
1. The main tasks of the unit:
Disseminate the mentoring culture in the departments of the college.
- Assigning the academic advisors from the faculty members and registering them in the academic advising system.
- Offering guidance on cases of academic failure.
- Follow-up of the academically distinguished students to encourage them and place their names in the list of distinguished students of the department and the college.
- Offering the necessary support in psychological, social, awareness, and preventive counseling for students, and reporting the cases that cannot be resolved in the department to the students’ mentoring unit of the college.
- Providing career counseling for students and assisting them in resume writing and in the acquisition of interviewing skills.
- Holding introductory lectures on the academic programs, research activities, and study plans in the department and responding to all student inquiries regarding the department's specialty.
- Preparing and distributing brochures that introduce the department.
- Supporting actions for the counseling process (announcing the counseling activities, extracting student data, …etc.)
- Collecting absence lists from faculty members in the seventh week of every semester for those who exceeded 25% and studying their cases.
2. Mechanism of the unit’s work:
- The committee meets at the beginning of each semester to discuss the work plans, distribute the tasks assigned to each member during the semester, and discuss some proposals to develop the committee’s work based on the committee’s activities report of the previous semester.
(In view of the exceptional circumstances due to the Covid-19 pandemic, the committee members are contacted and work plans are coordinated for the department via e-mail, WhatsApp, and Zoom platform, and students are contacted and guided by the same e-communication channels. However, physical meetings are to be held for the essential cases).
3. The unit’s official forms:
•A form for a case study of an academically failed student,
•A form for a student who has been granted exceptional opportunities,
•A form for students with high percentage of absence,
•A form for students who scored less than 40% in the first exam,
•A form for the certificate of appreciation for a distinguished student.
